The Port of Halifax is seeking a highly organized and dynamic Administrative Assistant to join our team. - Provide administrative support to various departments and assist in daily office needs.
- Manage agendas/travel arrangements/appointments etc. for the upper management.
- Manage office supplies stock and place orders when necessary.
- Prepare regular reports on expenses and office budgets.
- Maintain and update company databases, ensuring that records are accurate and up to date.
- Answer queries by employees and clients and provide information as needed.
- Maintain a company calendar and schedule conferences and meetings.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system for important and confidential company documents.
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.).
- Proven experience as an Administrative Assistant or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
Education and Qualification:
- High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.
- A post-secondary certificate or diploma in business administration, office administration, or a related field is advantageous.
